Understand Tasklists

Overview

Tasklists are shared work queues your team uses to organize, assign, and track work inside the platform. They turn incoming items, patient events, and operational follow-up into manageable tasks that can be worked by the right users or teams. In client terms: a tasklist is a work queue that keeps related tasks in one place so staff can see what needs attention, who owns it, and where it stands.

Practices use tasklists to route work to the right staff, track status from start to finish, organize tasks by workflow, manage follow-up and accountability, and separate different kinds of work into different queues.

What each tasklist type means

When creating a tasklist, the Task list type controls what kind of record the tasks are built around.

  • General Tasks — the blank option, not tied to a specific record type. Best for general office work, internal to-dos, and manual follow-up.
  • Service Request — for request-driven work like prior authorizations and utilization review, where the task stays tied to a service request record.
  • Referral — for inbound or outbound referral work, including tracking receipt, review, and follow-up.
  • Appointment — for tasks that should stay connected to an appointment, such as schedule review, visit prep, or appointment follow-up.
  • Inbox Item — for processing inbound documents and other inbox items that need review, routing, or action.
  • Survey — for reviewing or following up on post-visit survey activity and responses.
  • Text Message — for work centered around patient text conversations and messaging follow-up.
  • Forms — for tasks tied to registration paperwork or form submissions, such as reviewing submitted forms.
  • Estimate- for Good Faith Estimate generation

Tasklist Type vs. Tasklist Library

These are two separate ideas. The Tasklist Type is the record type a tasklist is built around (above). The Tasklist Library is a set of prebuilt tasklist templates you can install as a starting point — for example Inbound Referrals, Outbound Referrals, Prior Authorizations, and Patient Text Message. Library templates reflect common workflows but still fall under one of the tasklist types above.

How to choose the right type

Choose a typed tasklist if the work should stay connected to a patient-facing or operational record like an appointment, referral, form, survey, or inbox item. If you want a faster starting point, install a template from the Tasklist Library and then customize it.
