Troubleshoot Tasklist Issues

Overview

Most tasklist issues come down to one of four things: the wrong tasklist type was used, the right users or teams don't have access, the task was filtered or assigned elsewhere, or the source workflow isn't actually creating tasks in that queue. Work through the checks below to find where the problem is.

Troubleshooting

  • If staff can't find a task, then confirm it was created in the expected tasklist. Similar workflows can have more than one queue, so the item may have been routed elsewhere.

  • If a task doesn't behave the way your team expects, then check the tasklist type. Tasklists are built around a type (Service Request, Referral, Appointment, Inbox Item, Survey, Text Message, or Forms); the wrong type may have been chosen at creation.

  • If staff can't see a tasklist at all, then check the tasklist's Users and Teams tabs — the needed user or team may not be assigned.

  • If staff can open a tasklist but can't fully work the items, then check whether their team was added as read-only.

  • If a task seems missing, then check the task details and assignee — it may already be assigned to another user.

  • If expected items aren't showing, then clear any search, status, assignee, or other filters narrowing the view and search again.

  • If a user expects an item in the active queue, then confirm it wasn't already completed, removed from the active view, or moved out of the working list.

  • If the issue is task creation rather than visibility, then confirm the upstream workflow is configured to create or save work into a tasklist — some forms, surveys, or processes must be explicitly set to do so.

  • If a form-related task doesn't appear, then review the form's Miscellaneous settings and confirm Save to tasklist? is turned on if that workflow depends on it.

  • If you expect all work in one place but it's split up, then check which record type is driving the task — work tied to a referral, appointment, form, or survey only appears where that tasklist type supports it.

  • If you installed a tasklist from the Tasklist Library, then it may still need updates to users, teams, naming, or workflow settings before it fits your process.

  • If one staff member can see the tasklist and another can't, then the most likely cause is user/team assignment rather than a broken tasklist.

Where to check

  • Config > Tasklists — confirm the tasklist exists, the type is correct, and the right users or teams are assigned.
  • Tasklist > Users tab — review direct user access.
  • Tasklist > Teams tab — review team access and whether it's read-only.
  • The source workflow — confirm it's actually creating or saving work into the tasklist.
  • Filters in the tasklist view — clear them if expected items aren't showing.
