Create a Good Faith Estimates Tasklist

Overview

This article walks through creating the tasklist, defining its workflow statuses, adding estimate-specific fields and columns, and assigning the staff who will work the queue.

Before you begin

  • Access to Config > Tasks and Config > Custom Fields.

Steps

  1. Go to Config > Tasks and click Add Tasklist.
  2. In Settings, name the Good Faith Estimates tasklist, add a short description, and choose a color. 
  3. For tasklist type choose Estimate
  4. Turn on Is a patient required? so every estimate task stays tied to the correct patient.
  5. If your team wants guardrails, enable Task holding and set a hold window, and enable Auto-archive for completed tasks after your preferred number of days.
  6. Click Save so the rest of the tasklist setup tabs become available.
  7. Open the Statuses tab and add your workflow stages. A strong starting set is: New, Missing Info, Insurance Review, Estimate In Progress, Estimate Ready, Estimate Sent, Patient Follow-Up, and Completed.
  8. Mark New as the default status, and mark only your true final step (such as Completed) as the complete status.
  9. Open the Features tab and turn on Board view and Custom fields. Turn on Insurance tab, Eligibility checksPatient messages (If enabled in your Calvient system)
  10. Open the Columns tab and add the columns your team should see at a glance. A good setup is Patient Name, Patient DOB, Due At, Assignee, Status, Tags, Primary Insurance, plus any custom estimate fields you created.
  11. Open the Tags tab and add simple sorting tags like Urgent, Self-Pay, Uninsured, Missing Info, Ready to Send, and Follow-Up Needed.
  12. Open the Users or Teams tab and assign the staff who should work this queue. If one person triages everything, keep auto-assignment set to None; if the work is shared, use Round robin or Least busy.
  13. Go to Tasklists, open your new Good Faith Estimates list, and create one test task to make sure the statuses, columns, and required fields all behave the way you want.

Best practices

Use Completed as the only complete status. Set auto-archive to something like 60 days. Use task holding if you often wait on patient confirmation or outside information. Keep the status list short enough that staff always know the next action.
