Overview

Create a custom field (such as Door Code, Arrival Instructions, or Prep Reminder) and insert it into a reminder template as a smart value, so the reminder automatically pulls in appointment-specific information.

Before you begin

• Access to Config > Reminders > Custom Fields and Config> Reminders > Message Templates.

Steps

1. Go to Config > Reminders . Custom Fields.
2. Click Add New Custom Field.
3. Enter a clear name your team will recognize. Example: Door Code, Arrival Instructions, or Prep Reminder.
4. Complete any other required setup for the field, then click Save.
5. Confirm the custom field appears in your Custom Fields list.
6. Go to Config >Reminders > Message Templates.
7. Open the reminder template you want to update:
   • Click Add New Message Template to create a new reminder template, or
   • Click Edit on an existing reminder template.
8. Make sure the reminder is set up for the correct channel. For example: Appointment Reminders + SMS, Appointment Reminders + Email, or Appointment Reminders + Phone.
9. Click into the Contents field.
10. Type @ where you want the custom field to appear. This opens the smart value picker.
11. Select your custom field from the list. It appears in the template using the format @(cust-your-field-name).
12. Finish editing the message around that smart value. Example: Your appointment is on @(appointment-date) at @(appointment-time). Your door code is @(cust-Door-Code).
13. Click Save.
14. Confirm the updated reminder template appears in All Templates.

Troubleshooting

• If the custom field shows up blank in the reminder, then the field has no value on that appointment. The custom field only displays information when it has been filled in on the appointment itself.

Example

• Create custom field: Door Code
• Add it to the reminder template: @(cust-Door-Code)
• Result: the reminder automatically inserts the correct door code for that appointment.
