Keep Translations Up to Date

Overview

Once you enable additional languages, keep translated content current whenever the English version changes, so patients receive accurate instructions, reminders, and forms in their preferred language. Enabling a language doesn't keep translations updated automatically — if the English source changes, the translated version may need to be regenerated or edited.

Use the Translations tab to monitor translated content across registration forms, message templates, and appointment instructions, and to see which translations are missing, current, or out of date.

Before you begin

  • Access to Config > Organization Settings > Languages.
  • The languages you need should already be enabled on the Enabled Languages tab.

Review translation status

  1. Go to Config > Organization Settings > Languages and open the Translations tab.
  2. Review the translation list and status indicators.
  3. Use the filters or search tools to find the content you want to review. This is the best place to identify where updates are needed.

Update a translation manually

  1. Find the field or content item you want to update.
  2. Click into the translation for the language you want to edit.
  3. Enter the corrected translation.
  4. Save the change.

Use this when you want full control over the final wording.

Regenerate out-of-date translations

If the English version of a field changed since the translation was created, the system can flag it as out of date. To update those in bulk:

  1. Go to the Translations tab.
  2. Use the action button to fix out-of-date translations.
  3. Confirm the action. This starts a background job to regenerate translations where the English source has changed.

Fill in missing translations

If you enabled a language but never translated some content:

  1. Go to the Translations tab.
  2. Use the action button to generate missing translations.
  3. Confirm the action. This starts a background job that fills in content that doesn't yet have a translation.

Best practices

Review translations any time you update reminder templates, registration forms, or appointment instructions. Check the Translations tab regularly for missing or out-of-date items. Use manual editing for highly specific wording, and use the bulk translation tools to save time when many items need refreshing.
