Assign a Team to a Tasklist or Inbox

Overview

Assign a team to a tasklist or inbox so you don't have to manage access one user at a time. Using teams is the best option when the same group of staff should share responsibility for a tasklist or inbox.

Before you begin

  • Access to Config> Tasks and/or Config >  Inbox.
  • The team must already exist.

Assign a team to a tasklist

  1. Go to Config > Tasks 
  2. Open the tasklist you want to update.
  3. Open the Users tab.
  4. Switch to the Teams sub-tab.
  5. In Search for teams..., type at least part of the team name.
  6. Click the team you want to add.
  7. Confirm the team appears in the assigned teams list.

If needed, change the team's access to read-only instead of full access, or remove the team later using the remove icon next to its name.

Assign a team to an inbox

  1. Go to Config >  Inbox.
  2. Open the inbox you want to update.
  3. Open the Users tab.
  4. Switch to the Teams sub-tab.
  5. In Search for teams..., type at least part of the team name.
  6. Click the team you want to add.
  7. Confirm the team appears in the assigned teams list.

Troubleshooting

  • If team assignment is disabled on an inbox, then the inbox is marked Default (available to everyone). To restrict it to a specific team, open the inbox Settings tab, turn off Default, then go back to Users > Teams and add the team.
  • If access still seems broad after assigning, then note that with no teams or users assigned, access may remain broad depending on that screen's setup.
